Job Summary
Reporting to the Catering Manager, this position is responsible for assisting with the day-to-day operations of the events and catering functions of The Derrick Club. As the Events and Catering Coordinator, you will be tasked with assisting the Catering Manager with crucial tasks that include but not limited to the following.

Duties and Responsibilities
  • Coordinate and work closely with other departments for internal club events and assist with booking event links, FAQ’s, floor plans, contacting vendors, etc. while managing and maintaining bookings.
  • Valentine’s Day
  • Wine Fest
  • Brunch (Easter, Mother’s Day, Father’s Day, Thanksgiving, Brunch with Santa)
  • Golf Events (Seafood Fest, Expect the Unexpected)
  • Chef’s Tables
  • Special Occasion Events (Black & White Party, Etc.)
  • New Year’s Eve
  • Managing Food and Beverage Social Calendar
  • Generating reports (Reports to track events, monthly deposit report, audit report, etc.)
  • Update event and catering information on Jonas as required.
  • Work closely with the team to create and update menu packages.
  • Process and post deposits and payments for events.
  • Review, correct and post billing.
  • Create and update banquet event order bookings in Jonas Activity Management
  • Distribute banquet event orders to all necessary departments.
  • Actively communicate with the food and beverage department on updates and changes for events
  • Monitor emails.
  • Respond to booking inquiries in the events and catering department in a timely manner.
  • Communicate effectively with members, guests, and staff with a friendly, courteous demeanor, verbally and in writing, regarding event details.
  • Proactively identifies operational challenges associated with events and works with the staff and customer to solve these challenges and/or develop alternative solutions.
  • Effectively manages event budgets to maximize revenue and meet client’s needs.
  • Participates in tours to assist in the sales process.
  • Performs other duties as assigned to meet business needs.
  • Adheres to all standards, policies, and procedures.
  • Always maintain a professional demeanor and appearance.
  • Assist with minor banquet events such as answering inquiries and providing information to vendors.
  • Other tasks and duties as assigned.
Working Hours
  • This successful candidate for this position will work Tuesday – Saturday, on a full-time basis.
  • Minimal schedule change may occur, depending on the needs of organization

Requirements
  • High school diploma is required.
  • Diploma or degree in hospitality management is preferred.
  • Prior experience as an event & catering coordinator, or other relevant position in the hospitality or food service experience industry
  • Experience with Jonas is an asset.
  • Very good knowledge of the MS Office (Word, Excel, and Outlook)
  • Excellent communication skills

  • Highly organized and punctual
  • Ability to multitask.
  • Ability to handle stress and remain calm.
  • Ability to work individually and as a team.
